This commercial cleaning bid calculator combines labor, payroll burden, supplies, travel, overhead, contingency and your target profit margin. Every result is calculated from the numbers you enter rather than an assumed market rate.
Labor hours per visit
Productivity is measured in square feet per labor hour. A manual labor-hours entry overrides the automatic calculation.
Monthly break-even cost
Break-even includes payroll burden, supplies, travel, equipment, insurance, administration, software, other costs and contingency.
Recommended monthly bid
The calculator uses a true profit-margin formula. It does not simply add the selected percentage to your cost.
Visit duration
Adding cleaners reduces elapsed time at the facility. It does not reduce the total labor hours that must be paid.
Example: labor hours are not team duration
A contract requiring 10 labor hours with two cleaners still creates 10 paid labor hours. The team may complete the visit in approximately five elapsed hours, but the wage calculation must continue to use all 10 labor hours.

A profitable bid depends on accurate inputs. Review these seven items before using the recommended contract price in a client proposal.
Cleanable square footage
Use the space that will actually be cleaned, not automatically the building’s full advertised square footage.
Realistic productivity
Base productivity on the facility layout, floor type, restrooms, traffic, security procedures and service scope.
Total paid labor hours
Count every paid labor hour. A larger crew may finish faster, but it does not automatically reduce total wage cost.
Payroll burden
Include employer taxes, workers’ compensation, benefits and other labor-related expenses that apply to your company.
Visit-based expenses
Supplies and travel can increase with every service visit. Enter them per visit when they are not fixed monthly expenses.
Allocated overhead
Assign a reasonable share of insurance, equipment, administration, software and communication costs to the contract.
Margin instead of markup
A 25% profit margin is not the same as adding 25% to cost. Use the calculator’s cost-divided-by-one-minus-margin formula.

What should be included in a commercial cleaning bid?
A commercial cleaning bid should account for labor hours, hourly wages, payroll burden, supplies, travel, equipment, insurance, administration, software, contingency and profit. The proposal should also define the service scope, frequency, exclusions and contract terms.
How are labor hours calculated for a cleaning contract?
Automatic labor hours per visit equal cleanable square footage divided by expected productivity per labor hour. You can override that estimate by entering your own manual labor hours per visit.
Does adding more cleaners reduce total labor cost?
Not automatically. More cleaners can reduce the elapsed duration of a visit, but the same total labor hours still need to be paid. Ten labor hours completed by two cleaners usually means about five hours on site and ten total paid hours.
What is the difference between markup and profit margin?
Markup is calculated from cost, while profit margin is calculated from the final selling price. To reach a 25% margin, the calculator divides break-even cost by 0.75 rather than simply adding 25% to the cost.
How is commercial cleaning price per square foot calculated?
Monthly price per square foot equals the recommended monthly bid divided by facility square footage. Service price per square foot also accounts for the number of monthly visits.
Can the calculator compare an existing proposed price?
Yes. Enter the proposed monthly client price in the final step. The calculator will show whether it is below break-even, below your selected target margin or at or above the target.
Is the recommended bid a guaranteed market price?
